The art of time management

How to create time for what you really want to do:

Why time management is so important:

If you are like me doing a 9-5 job and building your personal brand then you surely know how hard it is to have a separate time for each of them.

If you are exhausted and won't find time for your personal work, don't worry I have been in your shoes I know how it feels like.

Managing your time efficiently is a skill too, If you learn effectively.

  • what to do?

  • how to do?

  • why you are doing?

These 3 questions should be crystal clear to you if you are building your personal brand with a job. If it isn't clear to you then I recommend you to sit down and let your thoughts flow in a paper for what you really want out of life.

Because without knowing what you exactly want out of your life, you will never make time for the things you want to do in life. It's not procrastination that holds us back from doing what we want, It's clarity.

Clarity of doing the things

Clarity of why you're doing what you are doing

Clarity to act and find the things and get the things you want.

If you are not clear on your goal, it is hard to make specific time blocks for scheduling your work properly.

My job timing is from 2 pm to 10 pm. So, when did i write all of my content?

Obviously in the morning because at night when I came back from I have got no energy left inside of me. And to be very honest here with you I am not a morning person I wake up usually around 9-10 optimizing my night's sleep for almost 8-9 hours.

I am not taking any naps that's why.

"You will never have time for yourself

If you never try to find what you really want."

I usually have a writer's block in the morning (1 hour) of only writing whether its my content or newsletter. Basically my whole content ecosystem works from my newsletters.

  • reels

  • posts

  • carousels

  • threads

  • long-forms

  • tweets

Everything, not exactly every time but most of the time.

Now let's come to the main part of this letter, let's manage your time and boost your productivity for what you actually wanted to do out of your job.

Specific time blocks

Schedule your time in blocks for better efficiency and effectiveness. when you create a specific time block and set a timer for that specific task. How much time it is actually takes to do the thing.

Suppose you have to edit a recorded video then you should know how much time it would actually take to edit a video in a certain amount of time. create a specific time block for that.

In the same way if you got no time organize things for your personal and content writing or tweets whatever; set 1 hour and sit for an hour with a timer.

If you are not doing a job then also I would suggest you to have a work block of 60-90 minutes each morning or in the day time as you choice. But, I would prefer the morning time. In the morning the brain have a laser focus sharpness for the high lever tasks.

Calendars are also a great way to re-organize your things.

In my job I use that method too, I have an outbound calling job based on collecting surveys. The first hour of my job I make call-log for calling people and for the next 2 hours I just keep dialing the numbers of the current and previous callback.

In this way when I have specific time blocks for any work it make so efficient and effective for me to do the work.

When you manage your time in a routinely way it makes everything efficient and effective and a lot simpler to do those tasks and yeah set alarms for your morning tasks so you don't end up sleeping when you suppose to work.

Now, lets come to the next part:

Buy a timer

One of the cheapest investments you can make and highest ROI things you will ever get, if you know what you want to do at your work blocks, if your why and how is clear for your what then go for it.

It doesn't costs a lot maybe something around $5-10, but when you threw away your phone you need something to count the time. This is the best option, either way if you don't distract by your phone you can also use timer in that by muting all the notifications. Most people get distracted by their phone and me too, so i chose to threw my phone away to another room in my work blocks.

Just set the timer for how much time the work actually takes or if you know you have certain work block use it like that. I won't go much deeper in buying a timer, just buy one for lesser distractions and more work done.

Set up your environment

Setting up your environment. Your work environment decides everything if you have a messy desktop you can never reach to your fullest potential because you love to work more when things are pretty much clean and organized more.

  • Have a ritual before sitting on work

  • Make it cluttered free

  • Use less accessories (computer, books and notebook)

  • If you record videos then camera too.

  • Less tabs (in your browser)

Don't keep everything lying around your desk, just keep the required things in front you which you need for the work.

One of the most important things you will ever do.

You know what environment comforts you to work, you just need to do the set up.

One of the major factors of your productivity depends on your environment too weather it's yourself your external environment or your work set up.

When you do things in a clean and organized way it takes too minimal effort to do the work. Yes setting up your environment is simple but its not easy that's where most people fail. Set up your work environment and your external surroundings too.

Remove all of the unnecessary things from your surroundings to see a productivity boost in your work. I can done a lot more working 1 hour a day in my side hustle than someone who's wasting his/her time joking around giving excuses.

Even though the newsletter you are reading right now I wrote in a daily hour which I called writer's hour.

So, go and set up your environment.

Prioritize one clear goal

Now, the main thing here as I've talked earlier you should know your why, how and what in order to do the thing. Set only one goal for the specific time block not more than that it will only split your focus and don't ever go for multi-tasking because it's a myth, yeah… most people do it but in my personal opinion I never liked multi-tasking. I like to do one thing properly at a time. If I am writing a newsletter then I will do it for a specific time, if i am engaging on twitter for growing I'll do for a specific time, If I am designing my IG reels, posts and carousels or designing newsletter thumbnails I'll spend time only there.

When your prioritize one clear goal you throw away all of your distractions.

In the morning I would suggest do the highest lever tasks because the mind is very sharp for the first 90 mins as soon as you wake up.

You need to know what you do and how to do it, if these two questions are clear to you then the why become automatically clears with time when you sit down for work.

The things I am telling you are the major factor differences between you and any productive person.

The next topic is a lot you have heard about but i am going to talk about it anyway so, let's get to the next point.

Block distractions for the period (even if it's an hour)

At the first hour of your morning every distraction must be blocked. I take that hour as a sacred hour for me and my work.

Now, I know you've heard a lot about blocking distractions and all of that stuff.

Now from where should you start blocking distractions… well, it depends on you what distracts you the most the worst distraction is your phone's notification.

well here are some ways to cut the noise off:

  • Throw away your phone

  • Use ear puffs for not hearing any external sound

  • Use chrome extension (Up hook) for YouTube [if it's distracting you]

  • Mute notifications on your computer

  • Don't open any tab outside of your work

These are the most discussed distractions for most people, you don't need to be a billionaire to be happy you need to go to your bed every night knowing you have given your 100% without cheating.

I am ending this letter here, meet you next week.

Thank you for reading.
